Privacy Policy

How Zeenphi collects, uses, shares, and protects information — whether you're visiting our website, subscribing as a business customer, or calling a business that uses our AI voice agent.

1.Scope of This Policy

This Privacy Policy explains how Zeenphi ("Zeenphi," "we," "us") handles personal information across three distinct groups of people, because each one relates to us differently:

  • Visitors to our website at zeenphi.com who are researching or evaluating our AI voice receptionist service.
  • Customers: the home and repair service businesses that subscribe to Zeenphi and whose calls our AI agent answers.
  • Callers: the people who call a Customer's business phone number and reach our AI agent, sometimes referred to below as "End Callers."

This policy does not cover the practices of our Customers themselves, GoHighLevel, Stripe, Twilio, or any other third-party service linked from our site or used to deliver the service. Those parties have their own privacy notices, which govern their own handling of your information.

2.The Short Version

We're a small company running a straightforward product: an AI voice agent that answers inbound calls for home and repair service businesses, books jobs into their calendar, and follows up by text. We collect the information needed to run that service and to run our own business — account details, billing information, and, because the product answers phone calls, recordings and transcripts of those calls. We don't sell personal information, and we don't use the calls we handle for anyone's marketing but the Customer's own operations. The detail below explains exactly what that means.

3.Our Role: Controller and Processor

Privacy law distinguishes between a "controller" (the entity that decides why and how personal information is used) and a "processor" (an entity that handles information on the controller's instructions). Zeenphi holds both roles, for different data:

4.Information We Collect

From website visitors

  • Contact details you submit through a form, chat widget, or demo request (name, business name, email, phone number).
  • Usage data collected automatically through cookies and similar technologies (see Section 6).

From Customers (business subscribers)

  • Account and business information: business name, contact name, email, phone number, industry/trade, and business address.
  • Billing information, processed directly by our payment processor, Stripe. We receive limited billing metadata (such as subscription status and the last four digits of a payment card) but do not store full card numbers ourselves.
  • Configuration data you provide to set up your AI agent (business hours, services offered, pricing you want quoted, calendar and booking preferences).
  • Support communications: anything you send us by email, form, or phone when you contact support.

From Callers (on a Customer's behalf)

When our AI agent answers an inbound call to one of our Customers' phone numbers, we process, on that Customer's instructions:

  • The Caller's phone number and any name or details volunteered on the call.
  • An audio recording of the call.
  • A text transcript generated from that recording.
  • Any booking, scheduling, or job details discussed on the call.
  • Follow-up text messages sent about that call (see our SMS & Messaging Terms).

We do not ask Callers for, and do not want to receive, sensitive information such as Social Security numbers, financial account numbers, or health information. If a Caller volunteers this information on a call, it is retained as part of the recording and transcript like any other call content, subject to the retention rules in Section 8.

5.How We Use Information

  • To provide the service: answering calls, booking appointments, sending confirmation and follow-up texts, and maintaining Customer accounts.
  • To operate our business: billing and subscription management, customer support, and account security.
  • To improve the product: reviewing call transcripts and outcomes (in de-identified or aggregate form where practical) to improve the AI agent's accuracy and conversation quality.
  • To communicate with you: service notices, billing notices, and, for Customers, product updates. We do not use Caller data collected through the service for our own marketing.
  • To comply with law and to enforce our Terms & Conditions.

We do not sell personal information, and we do not share Caller data with third parties for their own marketing purposes.

6.Cookies and Similar Technologies

Our website uses cookies and similar technologies to keep the checkout and account experience working, and to understand how visitors use the site. This may include:

  • Essential cookies required for the site and checkout to function (for example, session cookies from our payment processor and platform provider).

Most browsers let you block or delete cookies. Doing so may affect parts of the site, including checkout.

7.How We Share Information

We share information with the following categories of service providers, each of which processes it only to help us deliver the service:

We may also disclose information: to comply with a subpoena, court order, or other legal process; to protect the rights, property, or safety of Zeenphi, our Customers, or the public; or in connection with a merger, acquisition, or sale of business assets, in which case this policy would continue to apply to the information transferred.

This list of service providers may change as our operations evolve. We'll update this section when it does.

8.Data Retention and Deletion

We retain information only as long as needed for the purposes described in this policy, or as required by law. When a Customer's account closes, we delete or return their data consistent with our data-processing addendum.

9.Data Security

We restrict access to call recordings, transcripts, and account data to people who need it to do their jobs, and we rely on the security controls built into the platforms we use to deliver the service (Stripe, GoHighLevel, and Twilio each maintain their own security programs for the data they process). No method of transmission or storage is 100% secure, and we can't guarantee absolute security. If we experience a data breach affecting your information, we will notify affected parties and any required regulators as required by applicable law.

10.Your Privacy Rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to opt out of certain uses of it. This currently may include rights under applicable state comprehensive privacy laws (such as the California Consumer Privacy Act for California residents) and other state privacy statutes, if applicable thresholds are met.

To exercise a privacy right, contact us using the details in Section 13 or on our Contact & Support page. If you're a Caller, we'll typically direct your request to the Customer whose calls you were on, since they are the controller of that data; we'll assist that Customer as needed under our data-processing addendum.

11.Children's Privacy

Our website and service are directed at businesses and their customers, not children. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it.

12.Changes to This Policy

We may update this policy as our practices, products, or the law change. We'll update the "Last updated" date above and, for material changes, provide additional notice (such as an email to Customers or a notice on our website).
